Position SummaryThe Pre-Admission Testing Medical Assistant is responsible for organizing, maintaining, and coordinating the preparation of patient medical records, pre-op history and physical information, MD standing orders, and assists with obtaining pre-operative testing results for review by a Registered Nurse. The PAT Medical Assistant provides administrative support to the PAT Registered Nurse. This position is also responsible for ensuring that the medical record is complete and prepared with all the appropriate documentation necessary for the day of the procedure/surgery.This position is classified as an hourly, non-exempt employee and is eligible for overtime pay. This is a full time position Monday-FridayThis position reports to the Operations Manager*Primary Responsibilities** Adheres to the EOSC safety initiatives. Recognizes and reports observed or suspected safety violations, hazards and non-compliance with EOSC's policies and procedures and initiates corrective action and preventative measures as appropriate.* Conducts a thorough review of the surgery schedule and surgery scheduling form. Reviews the scheduling form and compares it to the schedule in HST to assure that the information is correct and accurate including date, procedure scheduled, type of anesthesia, and patient information.* Reviews the scheduling form for any special orders, and/or medication requests from the scheduling physician. The PAT Medical Assistant communicates this information accurately and in a timely fashion to the Clinical Coordinators in accordance to EOSC policies and procedures. To alert the Pre-op RN of these medication orders, the PAT Medical Assistant notates on the MD orders a special note indicating that there are medication orders on the surgery schedule form or on a faxed order to be reviewed.* Prepares and organizes the necessary paperwork for the PAT RN. This includes but is not limited to the surgery schedule form (3 copies with 1 stamped "chart copy"), MD orders, discharge paperwork, history and physicals, and any additional forms provided by the scheduling physician's offices. Provides the prepared paperwork to the PAT RN's in a timely fashion.* After the PAT RN's completes the pre-op phone call and medical passport, all paperwork is returned to the PAT medical assistant for further review. The paperwork including, surgery schedule form, patient surgical and anesthesia consent, and each page of the medical passport is reviewed for accuracy and is compared with the surgery scheduling form.* Under the supervision of the PAT RN, reviews patient medical passport is further reviewed to assure that all parameters of the pre-admission testing protocol have been met.* The day prior, confirms the surgery schedule with the scheduling staff. After all patients have been confirmed, the PAT medical assistant provides the patient and/or legal guardian with information on procedure/surgery arrival time, reinforces the NPO guidelines, what to bring on the day of the procedure/surgery, and the need for family member to be present or have ride available on day of surgery. Any discrepancies noted by the patient and/or guardian are communicated to the PAT RN.* Under the supervision of the PAT Nurse, ensures that the medical record is complete with all appropriate test results and required documentation (e.g., Nursing Assessment, H&P, orders, etc.) prior to patient's arrival and submits the record to registration in a timely fashion. Accesses OMP, HST and EMH EPIC systems to obtain relevant medical history, lab testing, H&P, sleep studies, etc. for the PAT RN to review.* Prior to the day of the procedure/surgery, communicates to the Infection Control Officer and the Clinical Coordinators any patient that may have or is suspected to have a drug-resistant organism and/or require isolation precautions.* When a name change and/or date of birth discrepancy are identified, the PAT Medical Assistant initiates the correction in medical passport and communicates the update to the PAT RN's and registration.* Demonstrates appropriate action and adheres to EOSC policies and procedures during emergency situations.* Reads and responds to company email in a timely manner. Email must be checked at least weekly, or as defined in the Employee Handbook, either on-site or remotely through the EOSC website.* Participates in performance improvement and quality initiatives. Assists with gathering quality data, completing audits, participating on committees, etc.* Utilizes EOSC equipment and supplies effectively and economically. Remains organized with time and identifies ways to streamline processes to increase efficiency.* Complies with all EOSC policies/procedures, Joint Commission, IDPH, CMS, and other regulatory agencies' standards and guidelines.* Assist with attaining medical history using One Medical Passport via phone calls and submits to the PAT Nurse for review.*Professional Conduct** Accepts personal responsibility and ownership. Does not assign blame. Accepts constructive criticism. Is able to look at the process to determine what failed and what changes can be made to achieve positive outcomes in the future.* Interacts with physicians, team members throughout the organization and management, in a positive, considerate and professional manner. Addresses issues directly with the person/people involved at the right time in the right setting. Follows chain of command to resolve problems but escalates recurrent issues when needed.* Displays problem-solving/decision-making skills to support positive team outcomes. Puts EOSC's patients and the overall team before self.* Is an active participant. Offers input into department and EOSC's overall goals. Attends and contributes ideas/recommendations in team meetings and in-services. Willingly accepts and/or seeks out additional assignments/duties.* Demonstrates ability to adapt to a changing environment; shows flexibility with assignments.* Shares skills, knowledge and expertise with team members through the organization.* Is punctual and dependable.* Carry personal caseload and organize appropriately* Performs other duties as assigned.*Qualifications/Competencies/Skills* - Minimum 2 years of experience working in a direct patient care clinical environment as a certified nursing assistant, medical assistant or patient care technician. Previous experience in an ambulatory care setting preferred. - Physical requirements:o Prolonged periods of sitting and/or repetitive use of hands.o May be required to lift/carry up to 50 lbs. - Employees are at risk for occupational exposure to blood and other potentially infections materials (OPIM) and must comply with the procedures and work practices outlined in EOSC's policies and procedures including the use of all necessary personal protective equipment (PPE) and engineering controls (e.g. sharps containers, labels, and red bags) per regulatory standards. - Required to handle cleaning agents including disinfectants, enzymatic solutions, chemical sterilants, and must comply with the procedures and work practices outlined in EOSC's policies and procedures including the use of all necessary personal protective equipment (PPE).* Able to work independently, manage multiple priorities at once, and work within aggressive timelines. Must be able to work in a fast-paced, multi-specialty environment. Must be team oriented and remain flexible with job performance, daily assignments and work schedules in order to best serve the needs of our patients, department and EOSC.
